BHHOA HOMEOWNERS MEETING
December 6, 2009
President, Ed Vea, called the meeting to order at 10:30 a.m.
Eleven homeowners were in attendance so there was no quorum and no business could be voted on. Since no business can be conducted, what follows are discussion items.
Treasurer’s Report
Kathy handed out a Treasurer’s Report. The current balance as of December 6, 2009 is $1,802.01.
The Lake Harmony Fire Chief spoke to us about the upcoming statewide Firemen’s Convention to be held September 24, 2011. He is looking for volunteers to help that weekend. The staging for the parade will be at Big Boulder Ski Area. The parade route will start at the Fire House and end at the Galleria. He will e-mail Ed details when available. These will be posted on our blog site.
Property Management Report (Joe Oliver)
Leaf pick up has been completed. The Grounds Committee recommended not removing all of the leaves. Leaves around the houses will be blown into the woods or removed and put in the overflow area.
Joe and four of his men are doing snow removal today. One man will always be on call to start snow removal. They will start plowing at 1-1/2 to 2 inches. Ed told Joe that he needs to do around to the side doors of the end units. On weekends you need to be here early. Stairways from the parking lot to units have to be done, salt or gravel needs to be put on the pathways. Joe offered to shovel the second floor decks at the cost of $35 per unit per snow event. This is usually done after six inches has accumulated. If you want this service contact Joe Oliver at 570-401-5027.
Trash is going smoothly.
Joe will deliver firewood in his truck today. This year the firewood has been aged four years.
Trouble Tickets – There is a light out on Rough Grouse Court. Ed asked Joe get a bid for the damaged trees on Fawn Court. The chimney cap came off of Unit 85 and needs to be replaced. The furniture and grills left on the grounds behind unit 15 and unit 2 need to be put pack on the porches.
If any touch ups from the painting project need to be done next spring, contact Joe directly. We hope to do the next staining project in four to five years. At that time we will not have to do the heavy power washing.
The Grounds Committee put together a list of items to be done in the spring. This includes new plantings, mulching, pick up whatever leaves are leftover from fall, and new stones for the pathways. The Grounds Committee will look into the rain drop erosion at the front of the units.
President’s Report.
1. Ed reviewed Attorney Jim Nanovic’s letter regarding the proposed By-Law changes. Nanovic recommended not pursuing these issues.
2. It was suggested that Ed post on our blog site the guidelines to Board decision making.
By-Law Committee (David Stein)
Dave wants to make sure we are in compliance with the Trust document before we move forward with any By-Law changes. He is checking our insurance policy.
Callie Price suggested two By-Law changes. The first would change the number of meetings per year of four to three, eliminating the December meeting. The second would change the time of the Board of Directors meetings.
Open Forum
The Audit Committee will meet in spring. Kathi will get a year-end reconciliation from the bank.
Bob Greco wants to know if anyone has upgraded to hi-def. He can’t get digital TV. He would like to know what other homeowners have done.
There was a discussion about Joe Oliver’s performance as Property Manager. The consensus was that he is not thoroughly doing the job. If the snow removal is not done properly, we will hire someone else and remove those fees from the contract.
In spring we will bid the Property Management services. The scope of work will be more detailed.
The next meeting will be in March.
