Dear Linda,
In an attempt to reduce the evident tension at our quarterly meetings with regards to the services provided by the Appletree Management Group (AMG), it was agreed with the Trustee at the homeowners meeting on June 2nd that (AMG) will supply with their invoice the timesheets and supporting documentation for each month’s work activities. The Trustee will review the materials for completeness prior to the issuance of the monthly installment payment.
Specifically the timesheets and supporting documentation for each month’s activities include:
• Timesheets for General Townhome and Common Area Maintenance providing name of individual providing the service the hours and description for each and every day work is performed and totaling no less than 40 hours in a week.
• Timesheets for Community Safety and Public Relations providing name of individual and or individuals providing the service the hours and description for each and every day the service is offered (in compliance with the contract) and not generally overlapping the daily work hours provided for General Maintenance above unless a special exception is noted and detailed.
• Timesheet for the Management Associate providing name of individual providing the service the hours and description for each and every day work is performed and totaling at least an average of 10 to 15 hours per a week for the month.
• In addition to the above generally provided information, AMG will provide detailed information relating to the scheduled activities for a given month as defined in Schedule C. For example for the month of June – cutting and trimming of lawn areas (four times) and application of vegetation control to stone areas. AMG will document how and when this is done and directly correspond the work to the attached timesheets; however, the timesheets without a separate report referencing the Schedule C activities alone will not constitute valid documentation of said work.
Thanks again for complying with this important request. The end result will be a more transparent view of the services provided and the means of their delivery. The hope is that such information will go a long way to improving the communities impression of AMG and the important services you provide.
